Creating Invoices
Create invoices from jobs or from scratch
From a Job (Recommended)
The fastest way — all the details are already there:
- Open the completed job
- Click Create Invoice
- Review the line items (pulled from the job)
- Adjust if needed
- Click Send or Save as Draft
Standalone Invoice
For work not tracked as a job:
- Go to Invoicing
- Click New Invoice
- Select the customer
- Add line items manually
- Send or save
Invoice Details
Each invoice includes:

| Invoice number | Auto-generated (customise format in Settings) |
| Date | Issue date (defaults to today) |
| Due date | Based on your payment terms |
| Customer | Bill-to details |
| Line items | Description, quantity, price |
| Total | Subtotal + GST |
Customising an Invoice
Before sending, you can:
- Edit line items — Change descriptions, quantities, prices
- Add a discount — Percentage or fixed amount
- Change due date — Override your default terms
- Add notes — Visible to the customer on the invoice
Sending the Invoice
Click Send Invoice and choose:
- Email — Sends to the customer with PDF attached
- Download PDF — For manual delivery
Draft Invoices
Not ready to send? Click Save as Draft.
Find drafts in Invoicing → Drafts. Edit and send when ready.
Progress Invoicing
For larger jobs, invoice in stages:
- Create an invoice for the deposit or first stage
- When more work is complete, create another invoice for the job
- Repeat until fully invoiced
Klearcut tracks how much of the job has been invoiced.
